This Privacy Policy applies to Calgary HVAC Leads and governs the collection, use, and disclosure of personal information in accordance with the Personal Information Protection Act (PIPA, Alberta) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Who We Are

Calgary HVAC Leads is a trade name of Rayne Holdings Group Inc., a corporation registered in Canada and operating from Calgary, Alberta. Calgary HVAC Leads is a free referral service that connects homeowners in Calgary and the surrounding communities of Alberta with independent licensed HVAC contractors. We are not a contractor and we do not perform heating or cooling work. We are committed to protecting the privacy of the people who use our service and our website visitors.

The core purpose of collecting your information is to share it with a contractor. Section 6 explains exactly what we pass on.

2. Information We Collect

We collect personal information that you voluntarily provide to us when you:

  • Submit a request through our website form
  • Contact us by phone, email, or SMS
  • Answer our follow-up questions about your heating or cooling issue

The types of personal information we may collect include:

  • First and last name
  • Phone number
  • Email address
  • Your area of the city and postal code
  • Property type and whether you own or rent
  • Details about the heating or cooling issue you are describing

We do not collect sensitive personal information such as financial account details, government identification numbers, or health information unless specifically required to deliver a service.

3. How We Use Your Information

We use the personal information we collect for the following purposes:

  • To contact you regarding your request and ask the questions needed to understand it
  • To refer you and your request to one or more independent licensed HVAC contractors in your area
  • To follow up with you about whether a contractor made contact
  • To send you maintenance reminders and seasonal offers — only where you have provided consent
  • To comply with legal obligations

We will not use your personal information for any purpose other than those identified above without obtaining your consent first.

4. Consent

By submitting your information through our website form, you consent to:

  • Being contacted by phone, SMS, or email regarding your request
  • Your name, phone number, email address, location, and the details of your request being shared with an independent licensed HVAC contractor so that they can contact you
  • Being contacted directly by that contractor

You may withdraw your consent at any time by contacting us directly or by replying STOP to any SMS message you receive from us. Withdrawal of consent will not affect the lawfulness of any processing carried out before your consent was withdrawn.

5. SMS Communications

If you provide your phone number, you may receive SMS messages from us related to your request, including automated questions used to match you with a contractor and follow-up messages. Standard message and data rates may apply. Note that the contractor we refer you to may also contact you by phone or text; their messages are governed by their own privacy practices, not this policy.

To opt out of SMS communications at any time, reply STOP to any message we send. You may also contact us directly to be removed from our SMS list.

6. Disclosure of Your Information — Referral to Contractors

We share your information with HVAC contractors. That is the purpose of our service. When you submit a request, we may disclose the following to one or more independent licensed HVAC contractors serving your area:

  • Your first and last name
  • Your phone number and email address
  • Your area of the city and postal code, and later your service address if you provide it to arrange a visit
  • The details of the heating or cooling issue you described, including your answers to our follow-up questions
  • Property type and ownership status

The contractor uses this information to contact you and arrange service directly. Once your information is provided to a contractor, that contractor becomes independently responsible for it and handles it under their own privacy practices. We ask contractors in our network to use referral information only to contact you about your request, but we do not control their systems.

We are compensated by contractors for participating in our referral network. We do not sell, rent, or trade your personal information to data brokers, list vendors, or third parties for their own unrelated marketing.

We may also share your information with trusted service providers who help us operate, provided they agree to keep it confidential. These may include:

  • Customer relationship management (CRM) and marketing automation providers
  • SMS, email, and telephony providers

Some of these providers store data outside Canada, including in the United States, where it may be accessible to foreign courts and authorities under the laws of that jurisdiction.

We may also disclose your information if required by law or in response to valid requests by public authorities.

If you do not want your information shared with a contractor, do not submit the form — we cannot provide the service without making that disclosure. You may ask us to stop referring your request at any time by emailing us.

7. Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by law. When your information is no longer needed, it is securely deleted or anonymized.

8. Your Rights Under PIPA (Alberta)

As an Alberta resident, you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate or incomplete personal information
  • Withdraw consent for the collection, use, or disclosure of your information
  • Request that we cease using your information for certain purposes

9. Security

We take reasonable technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

10. SMS Opt-In Information

Calgary HVAC Leads operates an SMS messaging program for request-related communications. By submitting our web form and checking the SMS consent checkbox, you opt into receiving text messages from us.

We will never sell, rent, or trade your mobile phone number or SMS opt-in data to third parties or affiliates for their own marketing purposes. Your number is shared with the licensed HVAC contractor we refer you to, so that they can contact you about your request — that referral is the purpose of the service and is described in Section 6.

SMS opt-in consent is not a condition of receiving a referral or of purchasing anything.

Message types include: request confirmations, questions about your heating or cooling issue, referral notifications, and follow-up messages related to your request.

Message frequency varies. You may receive between 1–5 messages per request.

To opt out of SMS communications at any time, reply STOP to any message. For help, reply HELP. Standard message and data rates from your mobile carrier may apply.

11. Cookies and Tracking Technologies

Our website uses the following tracking technologies:

  • Session cookies: Temporary cookies that expire when you close your browser, used to maintain your session while using our website
  • Analytics cookies: Used to understand how visitors interact with our website to improve user experience
  • Meta Pixel: A tracking technology from Meta (Facebook) that measures the effectiveness of our advertising campaigns. The Meta Pixel may collect information about your visit including pages viewed and actions taken. If you submit a form on our website, this data may be used to serve you relevant retargeted advertisements on Facebook and Instagram
